Our 2026 pilot program brings together forward-thinking organisations that rely on shift-based work. We're exploring how AI-assisted scheduling can support fairer workloads, reduce burnout risk, and make staffing decisions easier to understand and explain.
This isn't about replacing human judgement. It's about giving schedulers, managers, and leaders better tools to make fair, transparent decisions. Together, we'll test whether AI can help improve work-life balance, staffing stability, and trust in the scheduling process.
How the Pilot Works
We use a simple, phased approach so each partner can move at the pace that makes sense for them.

Who can join the pilot?

What does the pilot include?
Pilot partners receive access to a customisable version of our scheduling engine, configured to match your organisation's real rules, constraints, staffing models, and workflows. This includes bespoke configuration (rules, patterns, constraints), AI fairness and workload insights, transparency explanations for scheduling decisions, staff-facing and manager-facing tools, comprehensive onboarding and training, and ongoing support throughout all phases. The goal is to shape a version of the platform that works for your environment, not a generic one.
How long does the pilot take?
Most organisations move from initial exploration to a full pilot within 12-20 weeks, depending on scope and readiness.
Is there a cost to participate?
Phase 1 (Explore) and Phase 2 (Co-Design) are free. These phases help your team understand the system, define scope, and evaluate fit without any financial risk. Phase 3 (Pilot Deployment) is offered at a significantly reduced cost to cover server usage, support, and basic implementation fees. Pricing is based on the number of units or programs participating.
Do we need to sign an LOI?
Yes. Before moving into the product exploration phase, we ask pilot partners to sign a simple, non-binding Letter of Intent (LOI) to confirm shared goals and allow both teams to proceed efficiently. The LOI is NOT a contract and does NOT create financial or legal obligation. It simply helps both teams align on pilot goals, participating departments, data usage, timelines, and points of contact.
How is our data protected?
Most early work uses anonymised or sample data. Real organisational data is only introduced once privacy requirements have been reviewed and approved. We use encrypted infrastructure, role-based access, and secure data handling practices. Our platform is being developed to meet PHIPA, HIPAA, GDPR, and SOC 2 requirements. For organisations with stricter needs, we also offer private cloud isolation, VPC-based deployments, or local/on-premise options.
What support and training do we receive?
All pilot partners receive a comprehensive onboarding program, including guided configuration and setup, training for schedulers and managers, staff onboarding materials, fairness and transparency interpretation guides, and dedicated support throughout every phase.
What are we evaluating during the pilot?
We focus on three main areas: Fairness (more balanced distribution of shifts and workloads), Transparency (clear explanations behind scheduling decisions), and Well-being & workload balance (improved predictability and reduced burnout risk).
Can the system be customised for your organisation?
Yes. The platform is designed to be highly customisable, allowing us to configure scheduling rules, union/policy requirements, shift patterns, fatigue and rest rules, workload logic, and department-specific workflows. The pilot is about co-designing the version that fits your organisation.
